BEFRED - Researcher Registration

Registration on BEFRED is totally free of charge and is only required if you would like to submit abstracts for inclusion on the BEFRED website or request input to your own research.

When registered on BEFRED it is important that your email address and the organisation you are associated with are always kept up to date and valid. If your email or organisation changes you can update your registration details at any time under the 'Researchers Tools' menu.

Access to and use of the BEFRED website constitutes your acceptance of these terms and these terms take effect immediately on your first use of the website. By inputting an abstract into the secure holding area you are submitting it for inclusion on the BEFRED website, subject to the approval of your Authorised Establishment Person (AEP). Subject to that approval You agree to: •  grant the BEF a perpetual, royalty-free, non-exclusive, sub-licensable right and license to use,    reproduce, and with the prior agreement of the author modify, and to exercise all copyright    rights with respect to your abstract and toincorporate and to use the abstract on the BEFRED    website and to allow users of BEFRED to use the content in accordance with the Terms of Use; •  authorise the BEF to process any personal information contained in the abstract by incorporating    and using the abstract on the BEFRED website and allowing users of BEFRED to use the content in    accordance with the Terms of Use for the purposes of providing the following services to users:     •  A searchable database of abstracts of research relating to equine topics; and     •  A list of establishments which carry out research on equine topics. By submitting your contribution to the BEF, you •  warrant that your contribution is your own original work and that you have the right to make it    available to the BEF for all the purposes specified above; and •  accept the Terms of Use and the Privacy Policy and •  acknowledge that:     •  the BEF will have no obligation to post the abstract on the site; and     •  should the abstract be posted on the website, the BEF will retain the right to remove the        abstract at its sole discretion and shall not be liable to you in any way for its removal. If you do not want to grant to the BEF the rights set out above, please do not submit your abstract into the secure holding area. I confirm that I have read and that I accept the Terms and Conditions of BEFRED.   Privacy Policy: As part of registering with the BEFRED website, the BEF collects and processes personal data relating to you. The BEF is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations. What information does the BEF collect? During the course of the use of the BEFRED website the BEF collects your name, email address, the detail of the educational institution within which you have created your research along with the abstracts of the research you provide onto the site. Such information will only be used for the purposes of providing the following services to users: •  A searchable database of abstracts of research relating to equine topics; •  A list of establishments which carry out research on equine topics. The BEF collects this information through the BEFRED website. Data will be stored in a database associated with the website. Certain information about your session on the BEFRED site is collected automatically. This includes but may not be limited to: •  the Internet domain or IP address from which you access our website; •  the type of browser and operating system used to access our site; •  the date and time you access our site; •  the pages you visit. We do not make use of a web site visitor's IP address, or other session information that is automatically captured by its web server, for any purpose other than system administration and to provide statistics that are used to evaluate use of the site. Why does the organisation process personal data? The BEF needs to process your data in order to permit you to upload your abstracts to the BEFRED website. It will also process your data if you are an educational institutions to allow you to register and then use the website to approve submissions. Processing data from those registered allows the BEF to allow institutions to approve a student’s submission and for students to easily come back to the site and upload more than one abstract. The BEF will seek your consent for this activity at point of registration on the BEFRED website. BEF is using consent for the legal basis of processing personal data. Who has access to data? Your information will only be available to the BEF and the consultants running the website. The information you have submitted with your abstract will be made publicly available alongside your abstract. This may include personal information. Once you have uploaded this information, it will be publicly available in perpetuity to provide a database of equine research. By opting in at point of registration you are consenting to this activity. The BEF will not share your data with third parties without your consent. The BEF will not transfer your data outside the European Economic Area. How does the organisation protect data? The BEF takes the security of your data seriously. It has internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed. For how long does the organisation keep data? All the information you submit alongside your abstract will be kept and made publicly available via the BEFRED website as long as the BEFRED website is operational. Your email address and password (created on point of registration) will be kept for 12 months following your registration or last submission, whichever is the most recent to allow you to submit multiple abstracts, thereafter it will be deleted. If you wish to upload more abstracts after a 12 month break, you will be required to re-register your details. Your rights As a data subject, you have a number of rights. You can: •  access and obtain a copy of your data on request; •  require the BEF to change incorrect or incomplete data; •  require the BEF to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing; •  object to the processing of your data where the BEF is relying on its legitimate interests as the legal ground for processing; and •  ask the BEF to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override the BEF’s legitimate grounds for processing data. If you believe that the BEF has not complied with your data protection rights, you can complain to the Information Commissioner. What if you do not provide personal data? You are under no statutory or contractual obligation to provide data to the BEF. However, if you do not provide the information your abstract will not be able to be approved by your institution and therefore will not be made available on the BEFRED website. Automated decision-making There is no automated decision making used on the processes associated with the BEFRED website. Cookies A cookie is a piece of data often created when you use a website and stored in the cookie directory of your computer. Only Session Cookies are used. These are necessary for system administration purposes and are deleted when a visit to the site is terminated. The pages that are visited are tracked for analysis purposes only and the information is not used to make any assumptions about a visitor's particular interests. We do not collect any additional personal information through the use of cookies.
